Description

The Site Subcontract Administrator shall assist the Site Manager in ensuring the effective and efficient administration of all Subcontracts. The activities of the Subcontract Administrator shall be performed during the work start up, execution and closing phases of the project.

A Site Subcontract Administrator's responsibilities:

  • collecting and filing in logical manner the Sub-Contract Documents (Sub-Contracts)
  • prepare and maintain updated a list of contractual documents (such as  Change Orders, Addenda to Sub-Contracts, Waivers to contractual clauses, New Unit Rates, Construction Schedules, etc.) and assign such subsequent contractual documents correctly to the correspondent Contract and/or Sub-Contract
  • collecting all the correspondence coming in from Owner and/or Sub-Contractors, analyzing the content and draft the answers (contractual) on behalf of the Site Manager. Maintain well organized files, distinct per agency, of such correspondence
  • distributing the Sub-Contract Documents and all other subsequent contractual documents to the involved Functions
  • carrying out the review of the Sub-Contract Documents and proceed to the agreed amendments with Sub-Contractors
  • assist and advise the Site Manager on the interpretation of the Sub-Contract Documents Sub-Contract Documents
  • advise the Quantity Surveyors, the QA/QC Inspectors, the field Engineers, the Planners and all the other personnel involved in construction and assist them in the clarification of duty and responsibility attribution, under contractual aspects
  • assist, advise and even elaborate a contractual (file) dossier in the phase of process a Company Claim
  • assist, advise and even elaborate a contractual (file) dossier in the phase of analysis of Owner and/or Sub-Contractors
  • developing and incorporating the commercial terms and conditions of the Sub-Contract Documents into the Procedures for the Pre-qualifications, for the Tenders and for the Award of Sub-Contracts, in particular with respect to the Project Quality Plan and the Project HSE Plan
  • ensuring that all Vendors and Sub-Contractors are fully committed, understand and are actively involved in, the implementation of the Project in accordance with the Contract and/or Sub-Contracts and Specifications requirements
  • advise and Administrative Departments on the process of invoicing, under the contractual aspects
  • assist and advise the Site Manager in  official Site meetings and in all other occasions of Site discussion, when requested by the Site Manager Review the minutes of meeting.

Requirements

The Site Subcontract Administrator:

  • must be detail oriented
  • demonstrated strong business acumen
  • demonstrated strong administrative and organizational skills
  • demonstrated excellent oral and written communication skills
  • basic knowledge of contract types, terms and legal requirements
  • basic knowledge of law, construction management or engineering gained through education or experience
  • a  business, legal, or technical degree, or equivalent; and a minimum of 10 years of construction experience, which includes five years’ experience in field contract.
